Job Summary

GreenCard Certification International is seeking an experienced and highly organized Event Coordinator to lead the planning, stakeholder engagement, sponsorship facilitation, and technical programme coordination for conferences, policy dialogues, executive roundtables, professional training events, and other strategic engagements.

The ideal candidate will combine strong event delivery capability with commercial awareness, stakeholder management strength, and the ability to coordinate high quality technical content. This role requires a professional who can move from concept to execution, manage multiple workstreams at once, engage senior level stakeholders confidently, and deliver events that meet strategic, operational, and partnership objectives.

Key Responsibilities

  1. Lead the end to end coordination of conferences, summits, roundtables, workshops, certification events, and stakeholder engagements.
  2. Develop detailed event plans, timelines, budgets, workback schedules, and execution frameworks.
  3. Coordinate venues, vendors, logistics, registrations, event materials, guest management, branding, and on site operations.
  4. Ensure that all event activities are delivered on schedule, within budget, and to a high professional standard.
  5. Manage event risk, troubleshoot operational issues, and maintain delivery quality across all stages of implementation.

Stakeholder Engagement and Partnerships

  1. Identify, engage, and coordinate public sector, private sector, development, academic, and institutional stakeholders relevant to each event.
  2. Support the cultivation of strategic relationships that strengthen event participation, visibility, and market positioning.
  3. Coordinate invitations, confirmations, follow ups, protocol engagement, and partner communications.
  4. Maintain a strong stakeholder pipeline and ensure professional relationship management before, during, and after events.

Sponsorship and Commercial Facilitation

  1. Support sponsor prospecting, outreach, engagement, and conversion for event partnerships and sponsorship packages.
  2. Coordinate sponsor communications, proposals, benefits tracking, and fulfillment of partnership deliverables.
  3. Liaise with internal leadership and external sponsors to align commercial expectations with event outcomes.
  4. Ensure sponsor visibility commitments are executed accurately across branding, speaking opportunities, activations, and event materials.

Technical Programme Coordination

  1. Coordinate the development of technical programmes, session tracks, speaker lineups, panel discussions, presentations, and moderation flow.
  2. Work with subject matter experts, faculty, facilitators, and institutional partners to structure credible and relevant content.
  3. Prepare programme schedules, speaker briefs, session notes, and technical coordination documents.
  4. Ensure that event content aligns with GreenCard Certification International’s strategic focus areas, including sustainability, climate action, green building, ESG, carbon management, and professional certification.

Communications and Reporting

  1. Work with the communications team to support event promotion, participant communication, and stakeholder briefing materials.
  2. Track registrations, speaker confirmations, sponsorship status, and stakeholder engagement progress.
  3. Prepare event reports, debrief notes, performance summaries, lessons learned, and recommendations for future execution.
  4. Maintain accurate documentation and provide timely updates to management on delivery status and critical action points.

Who Should Apply

We are looking for sustainability professionals with:

  1. Bachelor’s degree in Business Administration, Communications, Marketing, Public Administration, or a related field.
  2. A relevant professional certification in event management, project management, business development, or stakeholder engagement will be an advantage.
  3. Minimum of 5 years relevant experience coordinating conferences, corporate events, policy events, or multi-stakeholder programme.
  4. Proven experience securing and managing event stakeholders, sponsors, speakers, and partners.
  5. Demonstrated ability to coordinate technical programming for professional, institutional, or policy focused events.
  6. Experience working with senior executives, regulators, development partners, academic institutions, or corporate organizations is strongly preferred.
